How to Prepare Your Roofing Team for Booked Inspections
Paying for booked inspections moves the hard part of marketing off your plate. It also raises the stakes. Each slot costs money, so your side has to be ready.
1. Get the calendar right
- One shared calendar. Every rep's real availability, kept up to date.
- Block personal time and existing jobs. A double booking is a paid no-show on your side.
- Leave drive time. Group slots by area where you can.
- Open only what you can run. See sales rep capacity.
2. Decide who goes
Name the rep for each slot ahead of time. "Whoever is free" leads to nobody going.
3. Read the details before the visit
Each booking comes with the homeowner's name, phone, address, time and answers. Read them. Arriving informed shows respect and saves ten minutes.
4. Confirm on the day
A short text from the rep with their name: "Hi, this is Mike from [Company]. I will be at your house at 2 for the roof inspection." It lowers no-shows and warms up the visit. More in how to reduce no-shows.
5. Be on time
Lateness is the fastest way to waste a paid appointment. If a rep is running late, call the homeowner before the start time.
6. Run the same inspection every time
Use a routine so results do not depend on who shows up. See the roof inspection that sells.
7. Follow up the same day
Send the quote and photos while the visit is fresh, and agree the next call.
8. Report back
Tell your provider what happened: held, no-show, sold, not a fit. Good feedback improves the next bookings. Report no-shows quickly, with a call log or a photo, so credits can be applied.
9. Review weekly
Booked, held, sold. If show rate is low, look at confirmation. If close rate is low, look at the inspection and the follow-up.
Questions roofers ask
How far ahead should slots be open?
A week or two. Too far out and homeowners lose interest.
What if a rep cannot make it?
